2. how we use your information
we use your information strictly for:
* preparing and filing your federal and state income tax returns.
* Providing tax planning and consulting services.
*communicating with you regarding your tax status or appointment.

we do not sell or rent your information to third parties. we only disclose your information:
* to the irs and state taxing authorities as part of the filing process.
* to third-party software providers (e.g., a subpeona or court order).

7. digital document uploads & secure portals
to ensure the highest level of security for you sensitive information, we utilize a smart vault provided through pts tax, tax now, and tax slayer product for all digital document exchanges.
* encryption: all documents uploaded to our portal are encrypted both in transit and at rest using industry-standard aes 256-bit encryption.
* user responsibility: you are responsible for maintaining the confidentiality of your portal login credentials. we recommend using a strong, unique password and enabling multi-factor authentication
( mfa ). if available.
*email policy: we discourage sending sensitive documents (those containing full ssn or bank details ) via standard unencrypted email.
8. physical document retention & destruction
we prioritize a "digital-first" approach to minimize the risk of loss or unauthorized access to physical records.
* original documents: it is our policy to return all original physical documents (w-2, 1099, etc. ) to you immediately upon the completion of your tax return preparation.
* physical storage: any physical copies temporarily in our possession are stored in locked, secure cabinets with access restricted to authorized personnel only.
* secure destruction: any physical documents not returned to you that contain sensitive information are securely shredded once they are no longer needed for the preparation of your return or to meet legal retention requirements.
